Gmail Signature Too Long or Not Showing? Causes and Fixes for Admins

A “Gmail signature too long” error points to the 10,000-character limit Google states for signatures, and images and hidden code count toward it. A signature that saved but doesn’t appear is a different problem, usually a setting. Pick your route:

For admins handling this across a company, Patronum warns when a signature template approaches Google’s stated 10,000-character limit and re-applies the approved signature on its hourly sync if a user’s copy breaks.

Fix a signature that’s too long

Google says “You can put up to 10,000 characters in your signature,” and “Your image also counts toward the character limit. If you get an error, try to resize the image” (Gmail Help).

In WebWisp’s own Google Workspace account (October 2026), Gmail on the web didn’t enforce that figure: a designer-style signature of about 36,000 characters of HTML (11,384 visible characters) saved with no “too long” error, and inserting it into a new email showed the full signature, untrimmed. That was one test in one account, so the documented limit may still be enforced elsewhere: through the Gmail API, in other clients, or for some accounts.

Others do report the error. Google doesn’t publish the wording; Newoldstamp, a signature vendor, reports it as “The signature is too long. Please try a shorter signature.” and notes that copying a signature out of Chrome or Edge can carry extra HTML that pushes it past the limit (Newoldstamp). A signature can look short and still be long in code.

Even when Gmail accepts it, a long signature causes practical problems: it pushes long emails toward Gmail’s clipping point, it can render unevenly in other mail apps, and heavy HTML can work against you with spam filters. Trim it either way.

Step 1: Prove the editor works with a minimal signature

Before you trim anything, check that Gmail will save a small signature for this user. Open Settings > See all settings, create a new signature, and type (don’t paste) these three lines:

Jordan Lee
Operations Manager, Example Co.
+1 555 010 0199 | example.com

That’s under 80 characters, with no images and no code carried over from a web page. Save it and open a new compose window.

  • It saves and shows up: the editor is fine, and the original signature is the problem. Go to step 2.
  • It won’t save either: size isn’t the cause. Try another browser or an incognito window, and work through the “not showing” table below.

Step 2: Rebuild the real signature on top of it

Add the real content back to the minimal version, a piece at a time, instead of pasting the whole designed signature in one go.

  1. Type the text fields in Gmail’s editor and use its formatting toolbar for bold, color and links.
  2. Add the logo last, using the insert image option, and keep it within Google’s recommended 70 to 100 pixels high by 300 to 400 pixels wide (Gmail Help). Our guide to adding a logo to a Gmail signature covers the hosting choice.
  3. Save after each addition. If the error comes back, the last thing you added is the culprit.

Find why a saved signature isn’t showing

If Gmail saved the signature, size isn’t your problem. Find the symptom, apply the fix.

Two rows need context. On phones, Gmail for Android has inserted the web signature since April 2025 “if no mobile signature is set,” and you can opt out by setting “a non-empty mobile signature (such as your name)” (Google Workspace Updates). So a phone that suddenly shows a full HTML signature, or just a name, is following its mobile setting. On clipping, Google doesn’t publish a threshold; Al Iverson at Spam Resource notes that “everybody in the world advertises 102KB as the HTML limit.”

Logo missing or broken? Usually the image is a private Drive file or sits on an internal server that Google’s image proxy can’t reach (Google Workspace Admin Help). Our Gmail signature logo troubleshooting guide covers the fixes step by step.

Fixing it for a whole company with Patronum

In Patronum, you build the signature once as a template in a policy with a SIGNATURE action, and Patronum syncs signature policies “to Gmail hourly via the Gmail API” (Patronum Help Center). If a user edits and breaks their copy, “the policy will overwrite their changes on the next sync.”

On size, Patronum’s help center says “The HTML code within your email signature is limited to 10,000 characters,” and “Patronum will warn you when you’re reaching this limit, but we will not prevent you from saving” (Patronum Help Center). Treat the warning as a stop sign: Patronum deploys through the Gmail API, where the documented limit may still apply, and an oversized signature causes the practical problems above either way.

If a Patronum signature isn’t showing for someone, check these (Patronum Help Center):

  • Is the policy activated? “The policy that assigns it must be activated before it runs.”
  • Is it a reply? The Gmail API doesn’t let Patronum set the reply and forward signature, so users choose that default themselves (Patronum Help Center).
  • Is it an alias? Patronum can only set signatures tied to a SendAs address.
  • Has it been an hour or two? Gmail “may cache signatures for 1-2 hours,” so a fresh change can lag in the compose window.

Prevention check

Run this after any signature change, whether you manage signatures by hand or through Patronum’s email signature management.

  • Keep one clean master. Store the approved signature (or Patronum template) in one place, and never rebuild it by copying from a rendered web page.
  • Watch the size. Keep images within Google’s recommended dimensions, and act on Patronum’s 10,000-character warning instead of saving past it.
  • Host the logo publicly. No private Drive files, no intranet URLs.
  • Set every default. New emails, replies, and each send-as address.
  • Decide the phone policy. Either leave the Android mobile signature empty to inherit the web one, or set it on purpose.
  • Test like a recipient. Send a new message and a reply to an outside Gmail and Outlook address, and check after the hourly sync and Gmail’s cache window.

Writer notes (not for publishing):

Revision changes (14 Oct):
– “Gmail signature too long” now leads (H1 unchanged, first sentence, meta description). The opening is now the two-route navigation block (“Gmail won’t save the signature” / “The signature saved but is missing”) with anchor links; entity sentence follows within the first 100 words. Designer scenario cut.
– Deleted “Most tickets end at step 2 or 3”, “Nearly every broken signature ticket traces back to one of these” and “That last check saves a surprising number of tickets” (implied experience, no data).
– “Rebuild from clean HTML” replaced with a minimal working signature (three typed lines, under 80 characters, fictional 555-01xx number) plus an add-back procedure that isolates the culprit. Deliberately plain text to type, not HTML, because “the Gmail editor cannot accept raw HTML” is on the GS Unverified list.
– Key takeaways section deleted. FAQ deleted: all four answers repeated the table or sections.
– Image troubleshooting cut to two lines plus link to /gmail-signature-logo-not-showing; the two image rows and the “Images that work for you” subsection removed from the table. Image size guidance kept only as a rebuild step.
– “Gmail won’t save” row removed from the table (now its own section); clipping moved into the table with the third-party 102KB note attributed.
– Ending is now a prevention check; product page link moved into it. Re-verified 13 Oct 2026: Gmail Help 8395 (10,000 characters, image counts, per-address signatures), 11468381 (70 to 100 px by 300 to 400 px), Android release note.
– Not applied: none of the review’s slot 5 points skipped.

Earlier notes:
– Patronum fact IDs: S48, S3, S37 (entity sentence), plus S1, S2, S4, S9, S10, S49. Editor to confirm S1, S2, S4, S9, S10, S49 (brief lists no explicit allowed set).
– Google facts: GS 3.1, 3.2, 4.4, 4.11, 4.12, 5.1, 5.3, 6.1, 6.2, 6.5, 6.6, 7.1, 7.2, 7.3.
– Third-party, attributed: T1 (Newoldstamp error wording), T2 (Chrome/Edge copy bloat), T3 (Spam Resource 102KB and “[Message clipped]”). Re-copy both third-party quotes from the live pages before publish.
– Gmail settings path “Settings > See all settings”: exact label of the defaults control not captured (Google’s page does not use “Signature defaults” as a label). Verify in the tenant.
– Placeholders: none left. The too-long error screenshot placeholder was removed because no error appeared in the test.
– First-hand tests (13 Oct): used T1 (Gmail web saved and inserted a signature of about 36,000 HTML characters, 11,384 visible, with no “too long” error). Caveats stated in the body: single test, one account, documented limit may still apply via the Gmail API, other clients or some accounts. The Patronum “stop sign” line no longer claims an over-limit signature fails. Not tested: Gmail API or other clients; no error text captured, so the error wording stays attributed to Newoldstamp.
– Anchor links (#fix-a-signature-thats-too-long, #find-why-a-saved-signature-isnt-showing) assume the CMS auto-generates heading IDs; confirm on the headless frontend.
– Internal links: /gmail-signature-logo-not-showing, /add-logo-to-gmail-signature (pending, LINK LIVE), /email-signature-management. /email-signature-image-size dropped with the image subsection; re-add if the editor wants it.
– Paul questions: Q3 (sync speed), Q4 (overwrite), Q5 (no mobile claim).
– Schema: Article + HowTo (FAQPage dropped with the FAQ).
