Best Google Drive Governance Tools for Google Workspace (2026)

By Patronum

November 06, 2026

Read Time: 7 mins

Start with Google’s own controls, because every tool below works inside the sharing rules you set in the Admin console. Add a governance tool when you need to clean up sharing that already exists and keep it clean on a schedule. If you only run Google Workspace and want a published per-user price, look at Patronum or GAT Labs. If your security team also covers Microsoft 365, Slack or other SaaS apps, BetterCloud, Nira, DoControl and SpinOne are the quote-based options.

Patronum, which publishes this page, governs Drive with policies that find files shared outside your domain or by link, then unshare them or email the owner first. Its help center places these automated compliance policies in Patronum Plus ($16 per user per year).

How we chose

These are editorial recommendations from each vendor’s own product, pricing and help pages, read on 5 November 2026, not rankings from hands-on testing. We compared:

  • Coverage: Google Workspace only, or several SaaS apps.
  • Historical cleanup: finding and fixing sharing that already exists.
  • Scheduling: rules that keep running after the first cleanup.
  • Owner involvement: warning or asking the file owner before access changes.
  • Exceptions: keeping files that are shared on purpose.
  • Logs: a record of what changed.
  • Cost for the plan that does the job, not the cheapest tier.

Finding, bulk fixing by hand and fixing automatically are documented differently, so they’re separate columns. “Drive content DLP” means scanning Drive file content for sensitive data, not browser DLP.

“Not confirmed” means not established in the sources reviewed. It doesn’t mean the product can’t do it, so ask in the demo.

Google’s native controls

Strength: the rules live where Google enforces them: external sharing and allowlists per organizational unit or group, and the general access default for new files (Google). The security investigation tool’s Links tab changes link sharing on selected files (Google).

Limitation: the investigation tool, trust rules and DLP for Drive each have their own edition list, and none includes a Business edition (trust rules, DLP). The investigation tool can’t change folder sharing or ownership, and Drive log events are kept for 6 months (Google). Our Drive governance guide lists the editions per control and the order to set them up.

Patronum

Strength: Drive governance sits in the same console as onboarding, offboarding, signatures and contacts. Admins can search files by name, type or owner and share, move, change owner or remove a file for any user (Patronum Help). For bulk changes, you can export file sharing to CSV, edit roles (a “remove” role unshares) and import it back (Patronum Help).

Patronum console Drives area listing shared drives with total, internal and external file counts
Patronum console, demo environment (November 2026): the Shared Drives tab, with total, internal and external file counts per shared drive.

Ongoing rules are Drive policies, available in Patronum Plus according to the help center. When you add a policy, the Trigger dropdown offers Directory or Drive.

Patronum Add Policy dialog with the Trigger dropdown showing Directory and Drive
Patronum console, demo environment (November 2026): the Add Policy dialog, with Directory and Drive as trigger options.

A Drive policy can filter files shared with “Anyone with the Link”, any external domain or any domain outside your allowlist, then unshare them after a delay, email the owner, or send a preview report to named recipients. Snoozed or safe-listed files are left alone (Patronum Help).

Limitation: file compliance automation, automated file expiry and custom file governance policies are Patronum Plus features, at $16 per user per year (Patronum Help), and Patronum covers Google Workspace only.

GAT Labs

Strength: audit depth. GAT+ offers domain-wide live Drive audits, with views of shared, public, public-with-link and orphaned files, sharing expiration, alerts and emails to end users about files with sensitive sharing (GAT Labs).

Limitation: bulk permission changes need Unlock, which starts in Essential+ at $20 per user per year, and Unlock and GAT Flow aren’t available during the 15-day trial (GAT Labs pricing). GAT’s DLP is in GAT Shield, described as “Real-time DLP security for Chrome Browser”, in the Secure plan. The pricing page mixes dollar and euro figures and gives two small-domain minimums ($500 and $800 per domain per year), so confirm the quote. More in our GAT Labs alternatives guide.

BetterCloud File Governance

Strength: it brings employees into the cleanup. BetterCloud says it can “Alert end-users before their files are unshared”, with “Bulk file clean up and unsharing from shared drives” (BetterCloud).

What to verify: whether you can filter for anyone-with-the-link files specifically, and what the Data Loss Prevention add-on scans (BetterCloud pricing). The Marketplace listing says the free trial shows your sharing footprint, but remediation needs a full subscription (Google Workspace Marketplace). See our BetterCloud alternatives guide.

Nira

Strength: bulk access changes at scale. Nira’s site shows a bulk change “to all items with a Public link type” and says it can “Update permissions for any amount of data assets in seconds”, with automated access policies (Nira).

What to verify: price. Nira prices per account, with enterprise features and premium support from 1,000 accounts. Ask how owners are notified before a change.

DoControl

Strength: Drive content DLP plus remediation. DoControl’s Google Drive page describes NLP scanning for sensitive data, bulk remediation of historical exposure, automated workflows and a Slack bot that “engages with employees to prevent inappropriate sharing activities” (DoControl).

What to verify: whether it filters anyone-with-the-link files and covers shared drives; neither is named on that page. No price is published; DoControl offers a free risk assessment.

SpinOne (Spin.AI)

Strength: one vendor for backup and DLP. Spin.AI’s DLP demonstration shows a policy for sensitive files “shared by link to anyone with a link”, with “remove public links” as an automatic action, and a manual “stop selected sharing” option for chosen items (Spin.AI).

What to verify: whether the manual action works in bulk, and the price. DLP (listed as DSPM/DLP) is in the SpinOne tier, which is contact sales; only SpinBackup has a public price ($3 per user per month, $5,000 per year minimum) (Spin.AI pricing).

How to choose

  1. Check your edition first. If it includes the investigation tool and DLP for Drive, test them before you pay. Business editions don’t, so a third-party tool does more of the work.
  2. Decide who fixes the file. If owners should confirm sharing before it’s removed, shortlist tools that document owner warnings: Patronum (Plus), GAT Labs, BetterCloud and DoControl.
  3. Price the plan that does the job. Ask for the tier with automated policies and bulk remediation, not the audit tier.

For a wider look at Workspace admin tools, see our Google Workspace management software comparison.

The decision, and how to test it

If you run Google Workspace only and want Drive policies, offboarding and signatures in one place, ask Patronum for a trial on the Plus plan. If audit depth is the priority, trial GAT+ and ask for an Unlock demonstration. If Drive is one of several SaaS apps your security team governs, take DoControl, Nira or SpinOne to a demo.

Some actions aren’t in every trial (GAT excludes Unlock and Flow; BetterCloud’s trial doesn’t remediate), so run this test in a trial or ask the vendor to run it in a live demonstration:

  • Create a test file in a test user’s My Drive and set general access to “Anyone with the link”.
  • Confirm the tool finds it.
  • Run, or watch the vendor run, the remove or restrict action on that one file only.
  • Check the file’s sharing in Drive, then find the change in Drive log events in the Admin console (Google).
  • Confirm whether the owner was warned before the change, and what the warning said.
  • Ask which plan you’d need to run that action on a schedule, and get the price in writing.
  • Write down which actions you ran yourself, which you only saw demonstrated, and which you couldn’t test.
